Position Description - Church Administrator
Purpose:
The purpose of the Church Administrator role is to be the first point of contact for people entering the Church during office hours and to provide administrative support to the Minister, Council Chair and other staff members. This role promotes a welcoming atmosphere and supports the effective and efficient operation of Church activities.

Qualifications:
• Demonstrated ability to use Microsoft Office including Outlook, Word, Excel, Publisher and Power Point
• A certificate/diploma in Office Administration or equivalent administrative experience
• An understanding of basic accounting/bookkeeping would be an asset
* Ability to obtain a valid PRC and Criminal Record check
Knowledge & Skills:
• Must possess excellent communication skills, written, verbal and interpersonal
• Demonstrated ability to work under pressure to organize and prioritize a variety of work activities
• Strong attention to detail
• Must be a strong team player and have the ability to work with others to support the creation of a positive worship experience
• Must understand, or have a willingness to understand the seasons of the church year and how these impact the tasks that need to be completed
• Must have the ability to work independently to meet deadlines with minimal supervision

Responsibilities of the Church Administrator:
1. Meet, greet and welcome visitors
2. Co-ordinate and organize all office activities
3. Provide administrative support to the Minister, Council Chair and other staff as required
4. Perform general clerical duties, including, but not limited to, word processing, copying, mailing/emailing and filing
5. Prepare and distribute publications such as weekly bulletins, newsletters, Annual Report – includes funeral bulletins, Easter, Christmas, and other special service bulletins
6. Enhancement of our online presence through social media (share and post events)
7. Administrator for Facebook page and website (WIX)
8. Answer telephones and relay telephone calls and messages to appropriate staff members
9. Pick up mail at post office, open, sort and distribute correspondence, including email
10. Respond to inquiries; provide requested information and direct inquiries as required
11. Assist with maintenance of information on the Active Display System
12. Co-ordinate bookings of church facilities – confirm payments and insurance requirements
13. Maintain and post monthly Church calendar – (Google Calendar)
14. Attend monthly Council meetings as Recording Secretary in order to take and distribute minutes following meeting (non-voting attendee)
15. Recording Secretary for Annual Congregational Budget Meeting and Annual Congregational Meeting
16. Work with Treasurer to administer paperwork/form completion for PAR – Pre-Authorized Remittance Program
17. Order all office and Church related supplies
18. Arrange for repair and maintenance of office equipment
19. Act as main point of contact during office hours for Custodian
20. Complete documentation requirements for the United Church of Canada
21. Data entry and maintenance of Church database (Powerchurch Plus)
22. Maintain membership register and card file and Elder books
23. Provide back-up for Treasurer
24. Attend regular staff meetings as required
25. Share ideas and assist in long term planning
26. Participate in professional development
Hours:
This is a part-time position consisting of 25.5 hours per week. (mornings Monday – Wednesday, full days Thursday and Friday)
